Trust me, nothing upsets an executive faster than when their email doesn\u2019t work.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The first thing you need to know: <strong>there\u2019s no magic bullet<\/strong>. Spam filtering happens on the <strong>receiving side<\/strong>, not yours. But there are plenty of \u201cred flags\u201d that your email system may be sending without you realizing it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Common Misconceptions<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Let\u2019s get this out of the way: free providers like <strong>Yahoo, Gmail, and Outlook.com<\/strong> are convenient, but they are also <strong>notorious for being flagged as spam<\/strong>. That\u2019s why spammers often ask you to email them first, once you do, their address gets added to a <strong>whitelist<\/strong>. From there, replies (even spammy ones) can bypass filters and land in your inbox.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Tools to Test Your Email Health<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Two excellent (and free) tools will give you a clear picture of your email server health:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong><a href=\"https:\/\/mxtoolbox.com\/?utm_source=chatgpt.com\">MXToolbox<\/a><\/strong><br>Use the \u201cEmail Health\u201d check. Enter your email address, click submit, and review the report. Errors and warnings mean potential issues. Click \u201cmore info\u201d to see exactly why something is flagged and how to fix it.<\/li>\n\n\n\n<li><strong><a href=\"https:\/\/www.mail-tester.com\/?utm_source=chatgpt.com\">Mail-Tester<\/a><\/strong><br>This tool gives you a temporary email address. Send a test email (subject and body can just be \u201ctest\u201d), then click \u201ccheck your score.\u201d You want a <strong>10\/10 score<\/strong>, anything less means there\u2019s room for improvement.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Best Practices for Avoiding Spam Filters<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Before you hit send, double-check these essentials:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u2705 <strong>Keep subject lines clear and relevant<\/strong> (4\u20137 words works best).<br>\u2705 <strong>Personalize when possible<\/strong> \u2014 even adding the recipient\u2019s name helps.<br>\u2705 <strong>Balance text and images<\/strong> \u2014 avoid emails that are just one big graphic.<br>\u2705 <strong>Use professional formatting<\/strong> \u2014 normal sentence case, consistent fonts.<br>\u2705 <strong>Check all links<\/strong> \u2014 they should go to trusted, matching domains.  No url shorteners.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Things to Avoid (Spam Triggers)<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">\u274c Overused words like \u201cFREE!!!,\u201d \u201cAct Now,\u201d \u201c100% Guaranteed,\u201d or anything in ALL CAPS.<br>\u274c Over-formatting \u2014 multiple fonts, bright colors, or huge bold text.<br>\u274c Suspicious tracking pixels or scripts from unknown sources.<br>\u274c Sending HTML-only emails with no plain-text version.<br>\u274c Sending executable attachments (.exe, .js, .bat) \u2014 these will be blocked.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Real-World Example<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">I once got a call from a well-known hotel in NYC. Suddenly, all their emails were bouncing or landing in spam. After investigating, I discovered their <strong>marketing team had uploaded a giant email list from the internet and started blasting out fliers<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Because of this, the entire server got flagged. Every hotel on that server was affected. The fix? I cleaned up the main email server, then built a <strong>separate \u201cspam server\u201d<\/strong> with its own domain and IP.
